The Opportunity
Museums Victoria, Australia’s largest public museum organisation, is seeking a Business Support Officer. We are looking for a driven, highly organised individual with strong attention to detail to join the Museum Spaces team being part of the Development and Commercial Operations Department. This position is to coordinate the administrative work and provide support to the Museum Spaces team. It is accountable for contributing to the effective operation of Museum Spaces through the provision of efficient and timely business and administrative support around events sales and operations. This includes ensuring a harmonious relationship between Museums Victoria and its clients, contractors, suppliers and stakeholders.
Working in the Museums Victoria Museum Spaces team, core functions of this position include:
- Provide high level administrative support to the Museum Spaces Manager and other managers including filing, routine correspondence, internal event RSVP’s, minute taking, general phone, email and calendar management and following up on enquiries.
- Administration of financial and business systems (requisitions, purchase orders, invoicing, some contract administration, venue space bookings system), and sales support (limited research tasks).
- In consultation with the Manager, develop and implement effective business tracking processes and systems and interpret and consolidate reports.
- Provide support where required in relation to sales and marketing activities.
- Maintain a highly organised work area, use initiative and problem-solving ability and work effectively as part of a team in a busy environment.
- Assist with monitoring of customer feedback – helping to ensure world class standards are maintained.
- Operate and maintain the event/ space management software system
- Provide high levels of customer service to both internal and external clients.
- Be a key point of contact for clients, caterers, suppliers and stakeholders; develop and maintain excellent working relationships.
- Administer the business requirements around Priava the event/space management software and working closely with internal stakeholders, administer internal event enquiries and ensure the data is maintained.
- Work collaboratively across the department and organisation to contribute to achieving the commercial objectives.
Relevant Skills And Attributes
- Demonstrated ability to coordinate administrative processes, including establishing and maintaining office systems, coordination of client financials and receivables, and maintaining accurate and up-to-date records
- Experience within the events industry and the ability to work methodically towards goals;
- Demonstrated ability and experience in providing high levels of customer service
- Demonstrated organisational skills with the ability to prioritise and work in an effective and timely manner;
- Excellent communication and interpersonal skills and the ability to work well in a small team with limited supervision.
- Proficient computer skills and experience including Microsoft Office product suite and Priava, or similar events software packages.

Other Information
Reporting to the Manager, Museum Spaces, this is an exceptional opportunity for a committed individual to apply their skills and lead a growing team. This is a full-time, ongoing position. The salary on offer is $56,271 per annum (base of grade) plus 11% superannuation.
