ABOUT THE POSITION:
The Lead Event Operations Planner is responsible for successfully planning and implementing large-scale events across Museums Victoria venues, building strong relationships with external clients and internal stakeholders, and providing daily management, support and mentorship to the Event Operations Planning team. This role ensures high-quality event planning and delivery from an operational perspective – maintaining compliance with industry, venue and legal regulations, meeting client expectations, and identifying opportunities to enhance client relationships and organisational outcomes. The position also plays a key leadership role in guiding and developing Event Operations Planners to ensure consistent, exceptional service delivery.
Some of the key duties include:
- Manage the Event Operations Planners, including recruitment, induction, training, professional development, and task delegation;
- Work with high profile clients to prepare complex customised event documentation such as, but not limited to, event checklists, event reports, risk assessments, council permits, Heritage Victoria documentation and engineering assessments Read, review and communicate event information to relevant stakeholders;
- Enhance the client relationship at every opportunity by delivering consistent, exceptional levels of service, resolving client conflicts, identifying development & growth opportunities for clients; consult with internal stakeholders on event partnerships, providing guidance on identified opportunities;
- Work with clients, contractors and internal stakeholders during the planning process to address operational issues and ensure client satisfaction without compromising safety or security in line with standard operating procedures;
- Coordinate and lead pre and post event briefs to identify areas of improvement relating to the planning and delivery of events; implement process improvements where appropriate;
- Work collaboratively across the department and organisation to contribute to achieving the commercial objectives;
- Comply with Museums Victoria’s policies and procedures and with relevant legislation and regulation.
The successful applicant will have:
- Demonstrated experience in managing and mentoring a team including recruitment, training, development and delegation;
- Demonstrated significant experience in the exhibitions and events industry, including a current and detailed working knowledge of current building codes, fire safety, risk management, and regulatory requirements, including Health and Safety, Food Handling & Preparation and Liquor Licensing;
- Proficient in the development and interpretation of complex plans for large scale events;
- Excellent communication and interpersonal skills, including the demonstrated ability to clearly present information in an engaging manner to stakeholders through both written and verbal communication; demonstrated ability to provide exceptional client service and to meet client expectations;
- Demonstrated initiative and commitment to systems improvement and processes with the ability to manage projects in support of organisation goals;
- Strong, independent work ethic and experience in managing competing demands and priorities. Proven ability to prioritise and work in an effective and timely manner and to work within a diverse organisation and across multiple business units;
- Proficient computer skills and experience including Microsoft Office product suite and Priava, or similar, events software packages;
