ABOUT THE POSITION:
The Facility Services Manager is responsible for the leadership and management of cleaning, waste and recycling, grounds maintenance and pest control services across Museums Victoria. The role also contributes to the leadership, delivery and reporting of environmental management objectives.
This position is accountable for managing the delivery of key user-facing services, ensuring high standards of quality, safety and operational performance. The role plays a critical part in creating a safe, clean and efficient environment that supports core business functions and enhances the experience of staff and visitors, while meeting budget, service level, sustainability and stakeholder expectations.
Some of the key duties include:
- Leading the strategic planning and delivery of Facility Services, aligning service outcomes with organisational objectives
- Overseeing day-to-day delivery of cleaning, waste and recycling, grounds maintenance and pest control services
- Managing service providers and contracts, ensuring performance meets agreed service levels and targets
- Developing and monitoring service level agreements (SLAs) and key performance indicators (KPIs) to drive service quality and accountability
- Managing budgets and resources to ensure cost-effective and efficient service delivery
- Building strong relationships with stakeholders, responding to feedback and resolving service issues
- Monitoring service performance, addressing service failures and implementing corrective and preventative actions
- Leading quality assurance activities, including audits, inspections and continuous improvement initiatives
- Analysing service data and user feedback to identify trends and opportunities for innovation
- Supporting environmental management objectives through effective reporting and implementation of sustainability initiatives
- Ensuring compliance with relevant policies, procedures, legislation and reporting requirements
The successful applicant will have:
- Demonstrated experience in facilities management or a related field, with strong knowledge of health and safety, compliance and risk management practices
- Knowledge of best practice service delivery across cleaning, waste and recycling, grounds maintenance and pest control, along with environmental management trends and sustainability targets
- Experience in contract management and procurement, with an understanding of contract and supply chain frameworks
- Strong leadership, communication and interpersonal skills, with the ability to build effective relationships and work collaboratively
- Proven organisational and time management skills, with the ability to manage competing priorities and perform under pressure
- Experience managing budgets and resources to deliver efficient and effective outcomes
- Strong analytical and problem-solving capability, with a proactive and solutions-focused approach
- Proficiency in Microsoft 365 and facility management systems, with the ability to utilise reporting tools effectively
- High levels of integrity, professionalism and attention to detail, with a commitment to continuous improvement and customer-focused service delivery
