The Sovereign Hill Museums Association is a not-for-profit community-based museum organisation that collects, researches, and interprets the heritage of the gold rushes and the Ballarat region. The organisation includes Sovereign Hill Outdoor Museum, the Gold Museum, Sovereign Hill Hotel, AURA, and Narmbool.

The Administrative Officer – Fundraising and Membership is responsible for assisting the Fundraising and Membership team in developing and delivering fundraising/corporate sponsorship revenues and activities for Sovereign Hill, including liaison with Board members, contractors, external contacts and key senior management staff as well as managing a range of administrative and communication-related tasks in relation to fundraising and sponsorship.

Some of the Key responsibilities include:

  • Providing support in the preparation of external communication to stakeholders and donors.
  • Creating, utilising and maintaining complex spreadsheets and other data analysis programmes
  • Working with highly confidential data and records and handle accordingly
  • Timely and efficient preparation of business papers, reports, agenda and related documents pertaining to fundraising activity and initiatives
  • Assisting with organisation of fundraising activity and initiatives

To be successful you must:

Be able to manage highly sensitive information and have exceptional organising and time management skills, including the capability to prioritise and work within tight timetables to produce high-quality outcomes.  Additional requirements include:

  • Strong computer, word processing, with particular emphasis on accuracy, grammatical correctness and professionalism in presentation of all produced work
  • A clear ability to work with volunteers, donors and key corporate and private stakeholders
  • Ability to maintain effective relationships
  • An understanding of governmental and civic protocol would be highly desirable
  • High level of both oral and written communication skills and a demonstrable cooperative nature
  • The ability to maintain the highest levels of confidentiality and discretion at all times
  • A systematic approach to work as a committed team member within a small office setting
  • Ability to work flexible and additional hours, some after hours, as and when required
  • Ability to undertake duties above the relevant Level 8 administrative position, including coordinating itineraries, maintaining effective relationships sponsors, donors and members.
