Australia’s largest public museum organisation is seeking an enthusiastic, committed and reliable Administrative Officer to assist the Executive Assistant to the CEO in providing support to the CEO and operations of the Museums Victoria Directorate office. The position is accountable for providing high quality and timely administrative support and secretarial assistance within the CEO’s Directorate. The successful applicant will be working within a small team. This is predominantly a support role, which may experience occasional busy periods as well as some quieter times. Support and flexibility around work arrangements will be provided, where possible.

ABOUT THE POSITION:

The position is accountable for providing high quality and timely administrative support and secretarial assistance within the CEO’s Directorate. The successful applicant will be working within a small team. This is predominantly a support role, which may experience occasional busy periods as well as some quieter times. Support and flexibility around work arrangements will be provided, where possible.

Notable skills and experiences:

  1. Demonstrated administrative experience including minute taking and the ability to understand and apply established office systems and basic finance procedures.
  2. Experience in working within a senior management environment and ability to undertake the role of the EA to the CEO when required.
  3. Competent keyboard skills and proven experience in Microsoft Office, particularly in the use of Microsoft Word, Outlook, PowerPoint and Excel as well as familiarity with the use of social media.
  4. High level of professionalism, initiative, attention to detail and accuracy and the ability to adapt and work independently within a small team, as well as effectively prioritise tasks in an environment of tight deadlines and rapid change.
  5. Demonstrated experience and understanding of records management and CRM systems and procedures.
