The Museum and Art Gallery of the Northern Territory (MAGNT) is the Northern Territory’s premier cultural institution. It offers a dynamic and diverse arts, science and cultural program to more than 300,000 visitors each year.

MAGNT has seven venues: Bullocky Point, the Defence of Darwin Experience, Fannie Bay Gaol, Lyons Cottage, the Museum of Central Australia (incorporating the Strehlow Research Centre), Megafauna Central and the Alcoota fossil site.
MAGNT is currently experiencing a significant period of growth. Additionally the Government recently committed $50 million to build a new art museum in Darwin’s CBD to be operated by MAGNT.
Primary Objective:
This position will provide administrative support across the Directorate and Corporate Services divisions. The role will initially provide executive support to the Director and Assistant Director Content and Innovation for a 6 month period, after which time, the role will provide general admin support with a focus on Human Resources and Work Health and Safety matters to the HR Manager within the Corporate Services division.
Key Responsibilities:
- Provide executive support to the Director and Assistant Director Content and Innovation. This role is key to ensuring the timely flow of work in the Directorate office and includes coordination of communication lines; tracking and monitoring Board, Ministerial and other correspondence, monthly reporting and diary management.
- Organise the annual schedule of Board meetings; organise and facilitate meeting travel and attendance, produce and distribute agenda and board papers and produce accurate minutes reflecting the Board’s deliberations.
- Organise travel for the Director and Executive team.
- Provide support to the HR Manager assisting with recruitment, staff inductions, maintaining staff records, monitoring payroll and leave requests, coordinating staff training and other staffing matters as required.
- Assist with the coordination of WHS reporting, monitoring compliance and continuous improvement processes.
- General administrative duties supporting the Corporate Services team including but not limited to processing invoices, monitoring generic email accounts, assisting with public enquiries and troubleshooting IT issues.
Selection Criteria:
- Studying towards or completed a tertiary qualification in HR or an admin or business related discipline.
- Understanding of business, administration and human resource processes.
- High level oral and written communication skills with proven ability to write reports and other correspondence in an environment requiring performance of multiple tasks and competing deadlines, with a proven ability to maintain confidentiality.
- Strong organisational skills with demonstrated ability to exercise initiative, set priorities and work under pressure.
- Experience in administrative procedures and systems including high level competency in Microsoft applications, financial management, corporate reporting and record management systems.
- Experience using Xero payroll software and NTG systems, TRIPS, EIMS, TRM, VBS etc or similar applications.
- A mature approach with an ability to use discretion and sound judgement.
- Energetic, self-motivated, flexible and adaptable with a sense of humour, able to multi-task and work independently in a hands-on work environment.
- A team player with an attitude of service, ability to motivate others and able interact with people from a variety of cultures and backgrounds.
- Demonstrated commitment to WHS policies and procedures while contributing to a strong culture of safety in the workplace.
