We are looking for an enthusiastic, energetic individual to join the Directorate team in providing administrative support to the Museums Victoria Directorate Office, including the Executive Assistant to the CEO and the Chief, Governance and Communications Officer.
Working with Museums Victoria Directorate team, core functions of this position include:
- Perform administrative duties for the CEO’s Directorate, including responding to enquiries, raising requisitions, preparing claims and acquittals, ordering stationery/ office supplies, providing hospitality and catering requirements for visitors and meetings, and coordinating arrangements with relevant internal and external stakeholders.
- Assist the Executive Assistant with the CEO’s travel arrangements and expense acquittals; contribute to the development and maintenance of filing management systems.
- Manage, coordinate and respond to meeting requests for the Chief of Staff as well as manage meeting room bookings; maintain the upkeep of the meeting rooms and Directorate office space.
Relevant skills and attributes:
- Demonstrated experience in all aspects of administrative work within a senior management environment including finance procedures and minute taking; demonstrated ability to undertake the role of the EA to the CEO, when required.
- High level of professionalism, initiative, attention to detail and accuracy, as well as the ability to work independently in a small unit; maintain confidentiality and exercise judgement regarding sensitive issues; problem solve; effectively prioritise tasks and contribute and deliver effectively in an environment of tight deadlines and constant and rapid change.
