Position Overview

This position is responsible for the administrative support of the Museum’s Technology section including processing of renewals and invoices, general administrative support for Technology projects, and assistance with user access requirements and queries in relation to the Museum’s records management and customer relationship management systems.

The key duties of the position include:

Key Responsibilities

  • Provide front of house technology support, meet and greet staff direct staff to the most appropriate service channel
  • Assist in the provision of user delegation access to Technology systems.
  • Assist in facilitating the on boarding and off boarding for Technology.
  • Co-ordination of the Technology budget tracking spreadsheet, including active monitoring and logging of contract start and end dates and communicating upcoming renewal dates to the Head of Technology.
  • Administration of the museum’s telecommunications contracts and tracking of Museum-owned mobile phones and usage.
  • Raising of purchase orders and processing of invoices including in relation to software licencing and other renewals, checking of invoiced amounts against purchase orders and the Technology budget, and escalation of discrepancies to the Head of Technology.
  • Engagement with vendors in relation to invoice and renewal queries including chasing of late invoices.
  • Tracking and co-ordination of the museum’s software licensing internally.
  • Assist with user access requirements and queries in relation to the Museum’s records management, customer relationship management and phone systems.
  • Assist with management of ICT asset register.
  • Assist with documentation development on ICT systems, processes, guidelines, and training materials.
  • Work collaboratively with the ICT team and perform other duties as requested by the Head of Technology and ICT Operations Manager.
  • Fulfil the key competencies of the classification of this position as defined and described by the Integrated Leadership System (ILS).
  • Any other lawful and reasonable request made within this position.

Eligibility

Selection Criteria

Essential Criteria
•    Administration experience.
•    Experience raising purchase orders and inputting/coding invoices.
•    Experience dealing with external vendors and attending to vendor-related contract administration including renewals and filing.
•    Administration experience in relation to projects and organisation-wide business systems.
•    Project co-ordination experience.
•    Effective communication skills in the English language, verbal and written.

Desirable Criteria
•    Experience providing administrative support to a technology team or in a technology business.
