The Museum has an exciting opportunity for a professional to join a new team within the Information Technology business unit as an Applications Administrator. The intent of this new team is to build a capability to provide administration and integration of the agency’s core business systems including Office 365, CM9 (Content Manager 9, EDRMS, Electronic Document and Records Management System), thankQ (Customer Relationship Management System, CRM), Piction and Emu (Digital Assets Management System, DAMS). The Applications Team is a small and dynamic team that will need to multi-task, undertake challenging and diverse work, and it operates in a supportive environment.
The Applications Administrator role delivers a range of services to the Museum and to its Corporate and Cultural Shared Services Centre (CCSSC) partner agencies. The core of which is the administration of the EDRMS and this crucially includes leading and implementing the transition from CM9 to Office 365 records management. Other key duties include a focus on managing day-to-day recordkeeping activities and assisting with the development of participating agencies business processes that support electronic recordkeeping requirements. While the core expertise is records management, it is expected that as part of this new team, the successful candidate will also take an active role in managing the above applications (thankQ, Piction, Emu etc) or any new applications, through the lens of an information manager.
A proven understanding of Records Management principles is important for this role, and also to improve and simplify business processes with technology and business process analysis.

The Applications Administrator has a range of responsibilities that include but are not limited to the following:
- Administration of Content Manager 9, including system builds, migrations, upgrades and maintenance and configuration in line with business requirements.
- Development and implementation of the transition from CM9 to Office 365 records management including creation of relevant constructs, application of appropriate policies, and user education.
- Delivery of the CCSSC EDRMS and records management services including participating in agency discussions, analysis of current agency environment and requirements, solutions development for migration and on-boarding and training of new agencies.
- Coordinating paper records services including retrievals, returns, sentencing and disposals.
- Leading information management policy development in accordance with legislative requirements.
- Manage the records helpdesk to deliver level 1 to 3 digital record services.
- Developing strong working relationships with people at all levels across the Museum, with other APS agencies and external organisations to ensure effective information management.
- Transitioning the CCSSC and partner agencies to comply with the National Archives of Australia Digital Continuity 2020 Policy.
