The Business Systems Manager is a member of the Technology team. The role is to lead and manage the effort to build, maintain and improve the business systems, data and processes that internally power the Museum. You will work strategically with Head of Technology, whilst engaging cooperatively and tactically with departments across organisation to ensure the effective management of business systems and services.
The key duties of the position include:
- Own and manage the museum’s primary business system applications including oversight of system administration and effective relationship management of key stakeholders such as business application owners, super users and vendors.
- Manage the operational effectiveness of, and maintain, a range of business systems to ensure stakeholder requirements are met, and to support the achievement of the museum’s corporate objectives and business priorities.
- Collaborate with the Head of Technology to identify improvements to business systems, or alternative solutions, and manage the delivery of ongoing business system development.
- Drive a high level of effective business system use through providing stakeholder support (from Executive to staff) to guide and educate on optimal usage of the museum’s primary business systems. This may include one-on-one support, contributing content to training, or briefing museum leaders for onward communication to their teams.
- Support stakeholders in using the CRM and other business systems to track, and accurately report on, museum key performance indicators.
- Investigate and manage the adoption of appropriate tools, techniques, and processes (including automation) for museum business systems and services.
- Develop, implement, and maintain system protocols in consultation with a range of internal and external stakeholders to optimise system workflows, performance, and reliability and to ensure compliance with relevant policies, procedures, guidelines and legislative requirements (for example, privacy).
- Ensure agreed service levels are met and relevant policies and procedures are implemented effectively.
- Manage all business system maintenance, upgrade and installation work including effective vendor management.
- Ensure data governance and controls operate effectively across all business systems and a high level of data quality is maintained.
- Identify and manage business system risks to ensure solutions are secure, robust, and reliable.
- Work collaboratively with the Technology team and perform other duties as requested by the Head of Technology.
- Fulfil the key competencies of the classification of this position as defined and described by the Integrated Leadership System (ILS).
- Any other lawful and reasonable request made within this position.
Eligibility
- Extensive experience in IT management, specifically in relation to business systems, data architecture and data governance.
- Demonstrated understanding of enterprise application suites including but not limited to Customer Relationship Management (CRM), ticketing, Point of Sale (POS), e-Commerce, finance, people counting and volunteer management systems, AWS/Azure, and data visualisation programs.
- Practical experience with managing vendors and the implementation of business system changes, upgrades and new business systems or products including Change Control and Release Management.
- Demonstrated ability to work effectively with a range of stakeholders to determine their requirements for business systems improvements and, by negotiation and compromise, develop cost effective solutions.
- Highly developed interpersonal skills and ability to communicate effectively in a team environment and with a range of stakeholders, both verbally and in writing.
- Ability to work proactively and take initiative to deliver effective outcomes working both independently and in a collaborative multi-disciplinary team.
- Ability to work after hours and weekends due to operational requirements such as system upgrades, unresolved critical issues and system failures.
- Effective time management skills and ability to work calmly, prioritise duties and meet deadlines in a high-pressure, changing environment.
- Excellent attention to detail.
- Ability to exercise discretion and maintain high levels of confidentiality.
- Reliable and punctual; able to be flexible with working hours as necessary.
