Collection Systems Officer (EMu) – History and Culture

MAGNT has seven venues: MAGNT Darwin, the Defence of Darwin Experience, Fannie Bay Gaol, Lyons Cottage, the Museum of Central Australia (incorporating the Strehlow Research Centre), Megafauna Central and the Alcoota fossil site. A new Art Gallery opening in Darwin’s CBD in 2024/25 will add an eighth MAGNT site.

Primary Objective:
The Collection Systems Officer will be responsible for the effective operation and use of the EMu Collection Management System (CMS), and the administration, development and maintenance of the CMS to ensure that it meets the diverse needs of all users.

This role will provide advice and direction on best practice in data management and documentation and deliver training and support staff in the use of EMu. The Collections Systems Officer will manage and undertake the database clean-up, create and update records, registry settings, generate reports and assist with the standardisation of data fields, metadata development and search capabilities.

Key Responsibilities:

  1. Undertake high-level administration, development and maintenance of MAGNT’s collection management system (EMu)
  2. Provide specialist direction on best practice in data management and documentation and establish, implement and maintain appropriate data standards for documenting MAGNT’s History and Culture Collection.
  3. Oversee software upgrades and database migration and scheduled testing, implement upgrades and provide user support ensuring understanding of system improvements. Act as primary contact with the service provider and ensure that the system remains current with upgrades and problem solve technical issues.
  4. Provide day-to-day support in the use of EMu, technical advice and user account administration, and deliver training and information sessions and develop user guides.
  5. Proactively respond to data queries, requests and user feedback.
  6. Collaborate with collections management and curatorial staff and lead data entry and large-scale clean-up projects and support the diverse needs of users in managing documentation in a centralised system.
  7. Create and maintain accurate records and undertake data entry relevant to the collections management procedures related to acquisitions, loans, stocktake, exhibitions and conservation.
  8. Create and maintain Crystal Reports and assist in the effective internal reporting development of reports run from the CMS.
  9. Other duties as required with respect to the scope of the position.

Selection Criteria:
Essential:

  1. Demonstrated high-level competence and experience in the administration, development and use of the collections management system (EMu) in a museum or gallery context.
  2. High attention to detail in the creation and management of electronic information, including searching and analysing, sorting, reporting and the provision of solutions to data management issues.
  3. Experience in delivering training, and sharing technical information and addressing user needs in a clear and concise manner.
  4. Demonstrated experience in the documentation of cultural material and the maintenance of  records relevant to collection management.
  5. Strong organisational skills to self-manage workload across concurrent projects, prioritising and completing tasks within scheduled timeframes and the ability to work unsupervised.
  6. Proven ability to work efficiently and harmoniously in a multi-disciplinary team with a range of professional, technical and administrative staff to achieve agreed objectives and performance criteria and provide support and collaborate with team members and key stakeholders.
  7. Well-developed communication and interpersonal skills, the ability to prepare high quality documentation and reports and respond to internal and external enquiries.
  8. A sound understanding and knowledge of Work Health Safety (WHS) standards and their implementation in relation to safe practices.

Desirable:

  1. Relevant tertiary qualifications in visual art, history, museum studies or database management or experience gained working in a museum or art gallery environment.
  2. Demonstrated understanding of the fundamentals of crystal reporting software.
  3. Experience using FileMaker Pro.
