This position is a critical role that ensures smooth running of the executive office and tends to communications or enquiries into the executive office as required. This position will also respond to emails, correspondence, phone calls, process invoices through iPOS and action requests on behalf of the Deputy Director as required.
This position works closely with the ANMM’s Executive team, ANMM Council members and senior members of staff to manage communications and enquiries.

The key duties of the position include:
High level overview of responsibilities:
- Proactively support the executive office in day-to-day operations.
- Screen all correspondence to the Deputy Director’s office, accurately summarising the content and expectations of the writer, prioritising each communication for action, responding to those within delegated authority or drafting responses as required, briefing the Deputy Director.
- Manage the Deputy Director’s diary, to ensure there is effective and optimal use of their time, including independently scheduling appointments and engagements in accordance with pre-established priorities.
- Prepare complex national and international travel plans and itineraries for the Deputy Director as well as Executive team, including making all necessary bookings for transportation and accommodation, ensuring travel arrangements are well planned and managed with minimal disruption or delay.
- Support the Deputy Director by facilitating workflow in line with agreed priorities, maintaining accurate records (including processing financial records).
Selection Criteria:
- Demonstrated ability in managing the office of a Senior Executive.
- Strong organisational, analytical and quantitative skills including the ability to work under pressure and manage a range of priorities to meet competing deadlines.
- Ability to maintain confidentiality and use discretion in diverse situations.
