The Museum has an exciting opportunity for two highly motivated and talented professionals to join the Executive Support Unit as APS4 Executive Assistants. The successful candidates will provide quality administrative support to members of the Executive Team, including diary management and coordination, document management and function support. The incumbents will liaise with the Museum Council members and notable members of the public on a regular basis. Discretion and representational skills are essential to succeed in this role.

As an Executive Assistant you will:

  • Manage the offices of two of the Museum’s Executive Management Group, comprised of the Deputy Director and three Assistant Directors.
  • Develop and maintain administrative systems that support the daily running of the offices, including diary management, preparation of correspondence, minutes, maintenance of filing systems, arranging meetings, travel, and hospitality.
  • Coordinate whole of division meetings and other related activities, including providing secretariat services.
  • Liaise effectively with internal and external stakeholders, particularly of a senior level, to ensure smooth delivery of the Museum’s business.
  • Understand and anticipate the business requirements of the Executive Management Group and operate with discretion.
  • Undertake research and administrative projects.
  • Demonstrate high-level oral and written communication skills.
  • Ensure that you have sufficient supervision, instruction, and equipment to undertake your work safely.
