Duties
As Executive Assistant you will:
- Manage the Offices of the Chief Operating Officer (COO) and the Associate Director, Development and Visitor Services.
- Provide support to the Executive Assistants to the Director, Deputy Director of Collections and Content, and Deputy Director Programs and Engagement.
- Develop and maintain administrative systems that support the daily running of the offices, including diary management, preparation of correspondence, minutes, maintenance of filing systems, arranging meetings, travel and hospitality.
- Coordinate whole of Division meetings and other related activities, including secretariat.
- Liaise effectively with internal and external stakeholders, particularly of a senior level, to ensure smooth delivery of the Museum’s business.
- Understand and anticipate business requirements of Executive Management Group and operate with discretion.
- Support the COO in Business Continuity Planning and Incident Response Management as required.
- Undertake research and administrative projects.
- Assist with Council and other Committees as required.
- Demonstrate high level oral and written communication skills.
- Ensure that you have sufficient supervision, instruction and equipment to undertake your work safely.
