Duties

  • Provide high quality and confidential administrative support for the TMAG Director, TMAG Executive Management Group, TMAG Board of Trustees, including coordination of meeting material and minuting meetings.
  • Provide high level administrative and executive support to the TMAG Director with a particular focus on time management, effective processes, document control and dissemination together with the management of the Director’s information needs.
  • Manage the flow of information within the Office of the TMAG Director, including the initiation and timely preparation of documents of a highly confidential nature such as Ministerial correspondence, Estimates Committee briefings, reports and referral of matters for comment or further action to the appropriate TMAG Deputy Director or Manager.
  • Organise and schedule the TMAG Director’s work schedule, meetings and other appointments, including the arrangement of corporate functions, travel, accommodation and itineraries as required.  Attend meetings, prepare agendas and take minutes during meetings.
  • Act as first point of contact for telephone and personal inquiries to the Director’s Office and when appropriate referrals to the appropriate officers in the business unit.  Provide clerical advice and support to staff relating to work practices and procedures.
  • Work closely with the Development Officer in managing the TMAG Director’s relationship with donors/supporters and attendance at fundraising events.
  • Provide administrative and research support to other staff within TMAG as requested by the TMAG Director.
  • Prepare and proof a variety of written material for the TMAG Director, including routine correspondence, ministerial documents, agendas and minutes.
  • Prepare and coordinate project material, and correspondence for various business units with the museum and a range of museum support groups.

Essential Requirements

As a result of a risk assessment process, the Head of Agency gave consideration to where vaccination is a necessary control to protect the health and safety of workers and the community and therefore it has been determined that prior to appointment to these duties a person is to provide evidence that they are vaccinated against the disease known as COVID-19. This risk assessment determined that all workers in the Department are required to be fully vaccinated or provide an approved exemption. Please refer to the Statement of Duties for further information or call the contact person with any questions.
