Employment conditions are covered by the The National Museum of Australia Enterprise Agreement 2012-2014. Other arrangements may be negotiated under an Individual Flexibility Agreement.
Responsibilities of the section
The Exhibition Projects and Interpretation team is responsible for managing the operational aspects of exhibition projects including the Museum’s permanent, temporary and travelling exhibitions, and other project as required.
The team has a core role in developing and maintaining an audience centred approach to the delivery of exhibition projects, and in ensuring a collaborative approach to the development of exhibitions. The team coordinates the delivery of evaluation and audience research required for exhibition projects, and ensures the delivery of quality audience experiences.
The team is responsible for:
- The management and delivery of a development program, which includes the enhancement and development of new galleries and associated space.
- The delivery of operational requirements for the permanent galleries, including coordination of showcase and module changes, maintenance and the coordination of small scale projects that contribute to the delivery of a high quality visitor experience.
- The delivery of temporary exhibitions, both internally and externally developed, on a regular basis for display in the Museum’s three temporary gallery spaces.
- Management of a travelling exhibition program that includes a range of different sized exhibitions that tour to metropolitan, regional and remote Australia and internationally.
- The Museum is commencing a new gallery development program, which will include the redevelopment of the Gallery of First Australians Welcome space and the commencement of a large scale, whole of gallery redevelopment.
Responsibilities of the position
The Exhibition Coordinator is responsible for managing the delivery of the Museum’s temporary, travelling and permanent gallery exhibitions; undertaking overall project management duties including the management of design contractors, development of budgets, procurement strategies and schedules, and the management of contracts and logistical support for the Museum’s temporary and travelling exhibitions.
As Exhibition Coordinator with the Museum you will:
- Undertake a project management role for the development and delivery of temporary, travelling and permanent gallery exhibitions, utilising project management tools. This includes developing schedules in collaboration with other Museum staff and developing project documentation.
- Coordinate exhibition programs for the Museum’s temporary exhibition spaces.
Work with the Travelling Exhibitions Support Officer to ensure coordinated delivery of travelling exhibitions, including the delivery of touring manuals and design information. - Prepare and monitor forward plans, budgets, contracts and strategy documents for the Museum exhibition program.
- Implement procurement procedures relating to the design, fabrication and installation of Museum exhibitions in accordance with Museum and APS procurement guidelines.
- Coordinate project meetings including chairing of meetings and leading collaborative project teams.
- Assist with the physical installation and de-installation of Museum exhibitions at the Acton site and at host venues for travelling exhibitions. This position will require interstate travel occasionally.
- Work cooperatively with the other Exhibition Coordinator, and other members of the Exhibition Projects and Interpretation team, to plan and effectively manage the exhibition program.
- Assist with the development of policy, procedure and procurement documents.
- Liaise with Museum and external stakeholders in relation to the coordination of activities associated with the exhibitions program.
- Ensures that he/she has sufficient supervision, instruction and equipment to undertake his/her work safely and that employees are provided with sufficient supervision, instruction and equipment to enable them to perform their duties safely.
Communicating with skill:
- Coordinate operational project meetings, and ensure actions and decisions are delivered to teams in an appropriate and timely manner.
- Liaise and negotiate outcomes with exhibition delivery stakeholders, both internal and external to the Museum staff.
Getting Results:
- Work independently, with minimum supervision, to coordinate exhibition projects of varying sizes and complexity.
- Ensure they have an understanding of the resources available to deliver the exhibition program, monitor project budgets and undertake a range of procurement activities.
- Coordinate meetings, write minutes and manage the circulation of design drawings and documentation to internal staff and contractors.
- Coordinate procurement processes and supervision of contractors and preparators associated with design, assessment, fabrication and installation of exhibitions.
Creating and innovating:
- Contribute to creative and innovative solutions to delivery of exhibition development and delivery tasks, and assist with the development or revision of procedures when necessary.
Working well with others and together:
- Work with the Exhibitions Support Officer to coordinate exhibition maintenance w to ensure a safe and enjoyable environment for Museum visitors.
- Work collaboratively with Museum staff to deliver an effective and efficient exhibition program.
- Assist with the installation of travelling exhibitions as needed. This may require interstate travel.

- Ensure high priority is given to the delivery of a safe, secure and enjoyable environment for visitors, and that the safety of staff and contractors is at the forefront of planning and deliver.
- Ensure that he/she has sufficient supervision, instruction and equipment to undertake his/her work safely and that employees are provided with sufficient supervision, instruction and equipment to enable them to perform their duties safely. This includes the development of Safe Work Method Statements and risk and issue documentation.
