The Australian War Memorial combines a shrine, a world-class museum, and an extensive archive. The Memorial’s purpose is to commemorate the sacrifice of those Australians who have died in war or on operational service and those who have served our nation in times of conflict. Its mission is leading remembrance and understanding of Australia’s wartime experience.

The Manager, Executive Support is a critical position within the Executive Team and is responsible for oversight and delivery of executive support functions incorporating the Office of the Director, the Offices of the Assistant Directors, Council Secretariat, and reception. The position requires excellent organisation, time-management, leadership and interpersonal skills suited to a fast paced environment, and a high level of discretion.

The key duties of the position include:

Provision of high quality, proactive and professional executive support to the Director incorporating:

  • research and preparation of high quality and timely complex documentation, including correspondence, background briefs, speeches, talking points, presentations, secretariat services and submissions;
  • build and sustain productive working relationships with external stakeholders, and development of collaborative and inclusive internal networks;
  • development of a strong understanding of corporate priorities and key activities across the organisation; and
  • Liaison with stakeholders to facilitate meetings, visiting dignitaries, tours and other ceremonial events.

Effective management of the Executive Support Team through the provision of leadership, advice and support to deliver core functions including:

  • corporate governance requirements such as annual corporate, strategic and business planning and reporting, compliance matters, and organisational wide policy issues;
  • co-ordination of reports and submissions to the Corporate Management Group, Council or the Minister;
  • leadership and management of the team, including personnel management and budget administration
  • oversight of continuous improvement of administrative processes and systems to reduce duplication and increase efficiencies.

The role reports to the Director, and works closely with the three Assistant Directors and other senior staff. From time to time, the Manager, Executive Support is required to participate in activities outside of the core duties of the role, such as attendance at ceremonies, assisting with VIP tours or contributing to section level projects and activities.

Effective leadership and management of the Executive Support Team is critical to the role’s success.

A background in one or more of the following is desirable: senior executive support, secretariat services, complex correspondence / report writing, administration, and team management.
