Position Description
The Manager, Executive Support is responsible for effectively managing the operations of the Executive Support Team incorporating the Office of the Director, the Offices of the Assistant Directors, Council Secretariat, and reception.
The role manages the delivery of key corporate and cross-branch functions including corporate planning, policy development, compliance, internal and external reporting and other high-level matters.
The Manager, Executive Support provides direct, high-level executive support to the Director including undertaking research, preparing complex written documentation, speaking notes and briefs, and secretariat services. The role requires delivery of high level of communication, both written and verbal from the Director’s Office to senior staff, key external stakeholders, dignitaries, VIPs and donors.
To be successful, the Manager, Executive Support must build collaborative and inclusive networks across the Memorial at varying levels. The development and maintenance of good working relationships is crucial to the effectiveness of the role.
The role reports to the Assistant Director, Corporate Services, and works closely with the Director, Assistant Directors and other senior staff.

The position requires a high level of discretion and excellent organisation and time-management skills suited to a fast-paced environment. The role is required to effectively manage the deliverables of the Executive Support Team and build strong relationships with internal and external senior stakeholders.
From time to time, the Manager, Executive Support is required to participate in activities outside of the core duties of the role, such as attendance at ceremonies, assisting with VIP tours or contributing to section level projects and activities.
Effectively manage the operations of the Executive Support Team incorporating the Office of the Director, the Offices of the Assistant Directors, Council secretariat, and reception including:
- Leadership and management of the team, including personnel management and administration
Management of financial and average staffing level budgets - Management and delivery of the annual team business and workforce plans
- Continuous performance improvement through the use of efficient and practical administrative processes and systems, and the sound application of professional knowledge to support the Memorial’s senior staff, meet the Memorial’s Service Charter and streamline processes to reduce duplication and increase efficiency.
Effectively manage the delivery of corporate and cross-branch functions through the provision of leadership, advice, and support including:
- Annual corporate, strategic and business planning
- Annual compliance calendar planning and implementation of compliance framework
- Organisation wide policy issues such as privacy management, compliance and copyright
Memorial responses and submissions to government reviews, commissions and reports
High-level submissions to the Corporate Management Group, Council or the Minister.
Provide high-level executive support to the Director including:
- Research, collate, compile, coordinate or draft complex documentation, correspondence, briefings, reports and submissions.
- High-level secretariat services
- Liaise and communicate with senior staff, key external stakeholders, dignitaries, VIPs and donors on behalf of the Director
- Liaise with sections across three branches in support of these tasks
