About the Role

The Museum Membership Coordinator plays a vital role in enhancing visitor engagement and support through an effective membership program. This position is responsible for assisting the Members Manager in the development implementation, and management of membership initiatives that foster a strong community of museum supporters. The coordinator will work collaboratively with various departments to promote membership benefits, increase membership subscriptions, and enhance overall visitor experience.

The role will also be the main customer service point of contact for Members, answering phone, email and face to face enquiries.

Please note: This recruitment process is intended to fill both current and future vacancies. While the position on offer is ongoing, a merit pool of suitable applicants may be established to fill similar ongoing and non-ongoing positions within the next 18 months.

Key Accountabilities

Under limited direction, this position is responsible for delivering the following functions:

  • Membership Administration – Manage the day-to-day operations of the membership program, managing multiple tasks such as processing applications and renewals, responding to member communications, and ensuring all communications align with the museum’s vision and strategic objectives.
  • Maintaining accurate membership records and databases, ensuring data integrity and compliance with relevant privacy regulations.
  • Assist in the development and implementation of innovative membership programs, events and benefits that align with the museum’s strategic objectives.
  • Evaluate and recommend enhancements to existing membership offerings based on member feedback and industry best practices.
  • Collaborate with the marketing team to create promotional materials and campaigns that drive membership growth and to assist in developing engaging content for newsletters, social media, and the museum website to attract and retain members.
  • Customer Service – Serve as the primary point of contact for membership inquiries, providing exceptional customer service to members and prospective members, address member concerns and feedback effectively, ensuring high levels of member satisfaction.
  • Reporting and Analysis – Monitor membership trends and report on key performance indicators to assess program effectiveness and identify opportunities for growth.
  • Produce comprehensive reports for management that provide in-depth insights into membership statistics and program outcomes.
  • Collaborate with museum departments, such as education, exhibitions, and events, to promote cross departmental initiatives that enhance member engagement. Work with the Membership manager to develop reciprocal agreements with other museums and institutions.
  • Actively engage in staff meetings and contribute to strategic planning discussions focussed on enhancing membership and fostering community engagement.

 

Selection Criteria

The successful candidate will demonstrate their capacity against the following:

  1. Proven experience in membership management, customer service, or marketing within a cultural or non- profit organisation.
  2. Strong understanding of membership programs and donor engagement strategies.
  3. Excellent written and verbal communication skills, with the ability to engage diverse audiences.
  4. Strong organisational and time management skills, with attention to detail and the ability to manage multiple tasks simultaneously.
  5. Proficiency in using membership database systems and Microsoft Office Suite.
  6. Ability to work collaboratively in a team environment and foster positive relationships with members and stakeholders.

 

Qualifications and/or relevant experience required

Desirable:

  • Relevant degree or equivalent experience in marketing, public relations, arts administration, or a related field.
  • A passion for the arts and culture, with a commitment to promoting the museum’s mission and values.
