ABOUT THE POSITION:
Australia’s largest public museum organisation is seeking a Projects Support Officer based at its Immigration Museum. The primary responsibility of this role is to provide project coordination support to the Manager, Special Projects and to coordinate the day-to-day administration of Immigration Museum operations.
Core functions of this position include:
- Coordinating the delivery of special projects as directed, including overseeing all aspects of project planning and execution.
- Providing support in coordinating and processing grant applications. This involves working closely with stakeholders to identify funding opportunities, conducting research on grant requirements, preparing grant applications and maintaining accurate records of grant-related activities.
- Supporting the General Manager of the Immigration Museum by managing appointments, communicating with key stakeholders and external organisations, coordinating external stakeholder events and projects, coordinating and preparing meeting documents and correspondence, preparing reports, maintaining relevant databases and updating documentation as required.
- Providing efficient and effective administrative support and follow-up for onsite activities such as stakeholder events, workshops, public programs and meetings.
- Managing the Immigration Museum stakeholder list and offer assistance and training to internal staff with use of the Customer Relationship Management software and processes.
The successful applicant will have:
- Demonstrated experience in providing high-level administrative and project support to a senior manager while observing confidentiality and protocols.
- Excellent time management and organisational skills, including the ability to use initiative, work under pressure with minimal supervision, set priorities, generate innovative solutions and meet competing deadlines.
- Demonstrated ability to appraise changing departmental requirements and develop appropriate administrative systems and procedures.
- Well-developed liaison and communication skills, including the ability to communicate with diverse external stakeholders, staff, students and associates working at all levels of Museums Victoria.
- High standard of administrative and computing skills, including advanced skill in the use of Microsoft Office applications, Records Management systems, and experience in gathering data and undertaking research using internal and external data sources.
- Demonstrated ability to work effectively in a team environment.
- The successful applicant is required to undergo, and for new employees meet the cost of, a National Police Records Check and be assessed as suitable for the role.
