The key duties of the position include:

Reporting to the Managing Registrar Collections Management and you work within the Collections and Access team to preserve and share the Museum’s National Maritime Collection (NMC). This role will manage and contribute to the documentation and safe storage, movement and handling of the NMC and administration of the collection database as well as the digitisation of the collection for collection access and management. This role will organise the loan and shipment of historic objects in the museum’s collection, care and manage aspects of installation and demount of collection objects and loans for exhibitions and programs including travelling exhibitions.

Your responsibilities will include but are not limited to the following:

  • Assist in the development and implementation of policy and formulate procedures for collection access and management including accessioning, digitisation, storage, handling, inventory, loan and documentation standards of the NMC and other historic material in the museum’s care.
  • Under limited supervision and in accordance with museum policies, procedures and industry best practice initiate and undertake collection management programs including accessioning, storage, handling, inventory of historic materials in the museum’s care.
  • Monitor the quality of collection management and loan data and records and ensure they are accurate and of a high standard to aid access, control, accountability and minimise risk of damage or loss. Ensure compliance with relevant legislation, permits and protocols and adjust processes as necessary.
  • Advise on object, handling, documentation, shipment and loan and liaise with internal and external stakeholders to assist in the planning and implementation of museum exhibitions.
  • Under limited supervision manage aspects of the administration of the collection management application (TMS), prepare technical manuals and train users in use of the application.
  • Prepare correspondence and gather and analyse collection data to prepare reports or respond to public enquiries
  • Undertake research and analysis of developments and innovations in museum collection management, digitisation and loans policy and procedures and implement system improvement initiatives
  • Supervise volunteers and collaborate with the team to meet Museum objectives and priorities in regards to collection access, digitisation and data clean-up program.

Key Selection Criteria:

  • Bachelor degree or equivalent qualifications in Museum Studies or a related experience and /or training field.
  • Excellent understanding of the role and functions of the Collection and Access or Registration team in a major museum.
  • Ability to work with a collections management application and an understanding of collection documentation, with particular knowledge and understanding of collection control, access and discoverability
  • Demonstrated knowledge of documentation required for inbound and outbound loans of collection objects and a knowledge of loan management and object handling procedures.
  • Demonstrated organisational skills showing initiative and good work management skills, including self-discipline, motivation and the ability to prioritise and manage time to complete tasks and meet deadlines. .
  • Experience in museum object handling, movement, packing or in organising museum object freight for loans and exhibitions
  • Experience in supporting exhibition registration deliverables and on exhibition installation teams in the delivery of self-generated and inbound exhibition projects.
  • Excellent communication and interpersonal skills, including the capacity to work in small teams and the ability to liaise effectively with internal and external stakeholders.
  • Well-developed organisation skills and a demonstrated ability to achieve results within defined timeframes and budget.
  • Demonstrated knowledge of best practice WHS processes and documentation, including the creation of Risk Assessments and Safe Work Method Statements.

Notes

Selection for this position will be made on the basis of relative merit which will be assessed against each item of the selection criteria. Applications that do not address the selection criteria will not be considered for shortlisting by the Selection Committee. As part of the selection process the selection committee may invite candidates to undertake a psychometric test, you should advise the selection committee if you have any special needs. Psychometric tests may be used as the initial short-listing test or later in the selection process. Some tests are very short while others may take one or more hours.
