Registration Officers work on a variety of specialist collection management tasks and programs including storage, transport, documentation, loans, audit, acquisitions, exhibition installation and warehouse management. These roles are broad band from APS 3 to APS 5 level with progression depending on skills, qualifications, experience and requirements in the team.

Registration Officers can be required across three specialities within the team:

Storage, Movement and Assurance – work in this team involves the physical management and audit of the collection including Large Technology Objects (LTO), artworks and small collection.

Loans and Exhibitions – work in this team involves administering collection loans, reporting, coordinating photography and condition reporting, packing, transport, exhibition install and coordination of temporary displays and changeovers.

Acquisitions – this team is the central point of contact for all collection donation offers to the National Collection. They also coordinate purchases and transfer of collection. Work involves correspondence with donors, coordination of curatorial assessments, receipt and documentation of collection and detailed documentation in the CMS of the whole acquisition process.

A core reasonability across the whole team is performing gallery changeovers, providing showcase and collection access and leading aspects of exhibition installations and displays.

A good level of physical fitness is required for collection movements and exhibition installation work and a driver’s licence is essential.

Core Responsibilities and progression through the broadband

APS 3:

At this level staff will assist with collection management tasks, build skills in specialty areas, collaborate across the Collection Services section, assist in exhibition preparation and installation and maintain accurate documentation in the CMS. Staff at this level are expected to do all relevant training including asbestos awareness, forklift and elevated work platform licences (for the Storage and Movement team), radiation safety and CMS training.

  • Tasks under general direction, depending on specialty team, may include:
  • Prepare collection items for storage or despatch and physically locate material in storage
  • Assist with the packing, rehousing, audit, relocation and storage of collection items
  • Assist with the physical management of collection material for conservation, photography, access, accessioning, loan and exhibition
  • Administrative tasks relating to collection management
  • Handling donor enquiries and processing hazard and purchase evaluations
  • Coordinating curatorial assessment of acquisitions

Progression to the APS 4 pay point will be dependent on:

  • Relevant qualifications depending on speciality team requirements that may include:
    • Tertiary degree in a relevant discipline
    • NEGVET 1 Security Clearance
    • Medium Rigid truck licence
    • Dogging and rigging qualifications
  • Advanced skills in CMS documentation
  • Demonstrated ability to coordinate and lead team tasks as listed above
  • Demonstrated ability to lead external stakeholder communication
  • Demonstrated ability to coordinate internal stakeholders and produce high level correspondence and reports
  • Demonstrated ability to coordinate collection management programs including loans and audit
