Internal Applicants Only – 3 Month Fixed-term Part-time Contract

The School Bookings Officer is a customer service specialist for the education market, providing high-level support in the booking and itinerary development for excursions and camps across all museum sites, so as to deliver immersive, tailored, and meaningful learning experiences for learners.

This is a 3-month fixed term contract that offers flexible working arrangements and can be undertaken by two part-time or one full-time incumbent, with on-site and off-site role tasks.

Within a team setting the role is responsible for ensuring the delivery of excellent customer service and maintaining effective relationships with school clients through the conversion of inquiries into business and managing the ongoing communication with customers.

If the role is undertaken by two part-time incumbents the split of tasks will be grouped as follows:

Off-site Role

  • Mailbox Allocation for all school booking officer roles and Head of Learning
  • Mailbox Monitoring of timelines for communications with school bookings
  • Managing Inquiries – future booking focus
  • Confirming Camp availabilities – Allocation hotel dates
  • Sending Initial documentation – enquiry form
  • Completing any regular outstanding tasks
  • Costume school system updating

On-site Role

  • Confirming date availability and placing the booking on ‘NAV’
  • Commencing the mail out required for camps – Excursion documents
  • Monitor document returns and allocation into our electronic filing system
  • Follow up correspondence with schools regarding timeline and information return
  • Manage current bookings to gather information to move the booking to an itinerary
  • Customer service mailbox and phone focused
  • Mailbox Allocation for all school booking officer roles and Head of Learning

The successful applicant must have:

  • Experience in a sales and customer service role
  • Experience with or willingness to learn about the education sector
  • Experience in handling customer feedback and complaints and agility and flexibility in problem-solving
  • Certificate in Business Administration or similar is essential
