Housed in one of Australia’s most prominent national heritage listed buildings, the Museum of Australian Democracy at Old Parliament House was the first museum in Australia dedicated to telling the story of the journey of our democracy. It seeks to provide a range of innovative exhibitions, tours, interpretation, education programs and public activities that will inspire and challenge visitors to explore democracy from its ancient roots to the present day and possible futures.

Under limited supervision, the Senior Administrative Assistant provides high-level support to the Director, Deputy Director and the Governance team, as well as providing support services to the OPH Board, Committees Business Units and sections.  The successful applicant will need to demonstrate strong coordination, and relationship management skills and enjoy working in a fast-paced environment.

The key duties of the position include:

The successful candidate will be responsible for the management of the Executive office including workflow and the provision of high level organisational and administerial support to the Director, Deputy Director and the Governance team and the Board.
Other duties include:

  • Provision of efficient and effective secretariat services including meeting coordination, liaison with internal and external stakeholders, preparation of complex papers, attendance of committee meetings and the provision of detailed and accurate minutes and action and decision registers.
  • Processing invoices and budget management, book and manage travel arrangements, processing and recording incoming and outgoing correspondence and diary management.
  • Preparation of reports, presentations and briefs, undertaking research as directed by the Director or Deputy Director.
  • Coordinate corporate reporting requirements with a high attention to detail.
  • Provide a broad range of general administrative and support services as required to facilitate the efficient day to day operation of the Museum. This includes physical meeting set up, stakeholder support and meeting logistics.
  • Managing tight timeframes to meet committee and stakeholder requirements.

Eligibility

Employment with the Museum of Australian Democracy is subject to the following conditions:

  • Citizenship – To be eligible for employment with MoAD, applicants must be an Australian Citizen.
  • Security Clearance – The successful applicant will be required to undergo and maintain a security clearance at the baseline level.

  • This is a non-ongoing position for 12 months with the possibility of ongoing.
