The Senior Documentation Officer works within the Collection Information and Access (CI&A) Team to manage, support, develop and document the Memorial’s collection on the Collection Management System (CMS) Currently the Memorial’s system is MIMSY XG, (locally know as MICA). The role is also required to contribute to the development of other online systems, such as the Digital Asset Management System (DAMS), SharePoint and others, as well as working with the Digital Experience (DEX) team to promote data from the CMS to the AWM Public website.

Responsibilities:

Under limited direction, perform collection and system related activities including:

  • Provide user training, liaison, support and advice to internal and external clients.
  • Prioritising and working daily on requests for assistance from users (received via phone calls, online form, emails and “walk ups”).
  • Undertake data improvement tasks, such as testing the effectiveness of all modules of the CMS and working with the CI&A and information technology teams to achieve optimum results in system performance.
  • Design and develop reports to assist all users of the system.
  • Compilation and/or editing of reports that are provided to senior management on a regular basis.
  • Monitor data entry and system usage, especially in regard to ensuring that information in MICA is meeting the standards set out in all CMS manuals.
  • Undertake administrative tasks to support the duties of the position. This includes keeping statistics and completing requests for alterations to the CMS from users.
  • Undertake analysis of collection management processes, and suggest and implement changes to foster continual system improvement.
  • Prepare correspondence, reports and other documentation related to the collection management system.
  • Perform documentation tasks and liaise with curators to support and develop online collection management and other systems, including MICA, Web content, DAMS and SharePoint.
  • Undertake administrative, data clean-up and project tasks.
