MAAS currently operates three sites, the Powerhouse Museum in Ultimo, Sydney Observatory in Millers Point and Museums Discovery Centre in Castle Hill. In April 2018, the NSW Government announced the largest investment in museum infrastructure in Australia’s history, which will enable MAAS to expand its operations, and will ensure the Museum and its collection remain a critical part of our local and global communities for centuries to come.
The opportunity
We currently have an opportunity for a talented Senior Executive Assistant to join the Museum at a time when it is embarking on a major transformation with planning underway for the Museum’s longer-term future in Parramatta.
As the Senior Executive Assistant, you will be responsible for providing a high level of support to the Chief Executive and the wider Executive team maintaining appropriate levels of professionalism and confidentiality at all times. This position sits within the Executive Support team and reports to the Executive Officer, MAAS.
Day to day, you will:
- Manage the Chief Executive’s diary appointments, records and correspondence, coordinate travel arrangements and schedule and support meetings.
- Analyse and assess requests to prioritise matters, and initiate action exercising discretion and maintaining confidentiality to facilitate the optimal use of the Chief Executive’s time.
- Work closely with the Executive Officer to prepare, coordinate and review communication including correspondence, briefing notes, reports and submissions.
- Monitor, implement and evaluate administrative practices, systems and procedures to optimise efficiency and support the delivery of quality outcomes.
- Manage and mentor a small team of administrators.
To be successful in this role you must have:
- A minimum of 5 years executive management support and office management experience or an equivalent knowledge gained through a combination of education, training and/or experience.
- Demonstrated ability to work under pressure with competing deadlines, sensitive and confidential matters and to work flexible hours, as required.
- Excellent interpersonal and written communication skills with the ability to liaise with a diversity of stakeholder and client groups.
- Demonstrated ability to identify, analyse and solve administrative problems to provide accurate and appropriate outcomes.
- Ability to research and provide input into reports
- Advanced word processing, PowerPoint, spreadsheets, database, desktop publishing, Internet and e-mail skills, including familiarity with computer packages including Microsoft Office.
